Terms and Conditions for Event Registration
1.0 Introduction
By registering for and participating in an Event, you ("Participant" or "you") agree to comply with and be bound by the following terms and conditions set forth by CMC:Foundation (“CMC:FFC or CMC:Foundation for Change”) collectively known as the “Parties”.
2.0 Registration
Eligibility: Participants must provide accurate and complete registration information.
Confirmation: Upon successful registration, you will receive a confirmation email with details of the Event. Please ensure your email address is correct.
3.0 Event Access and Participation
Access: Registered Participants will receive login details and instructions on how to access the Event. All information will be shared via email. It is the participants responsibility to ensure they have access to the training information. If the participant cannot find the access information they must email info@cmcffc.org.
It is the participant’s responsibility to ensure that they have the necessary equipment and internet connection to participate in the training.
Conduct: Participants are expected to behave professionally and respectfully. Disruptive behavior, harassment, or inappropriate conduct will not be tolerated and may result in removal from the Event without a refund.
4.0 Cancellations and Refunds
Organizer Cancellation: If CMC:FFC cancels the Event for any reason, CMC:FFC will provide a full refund of the registration fee.
Participant Cancellation: If you need to cancel your registration, you may do so through your participant portal. CMC:FFC can provide a 100% refund up to 24 hours before the Event, less the cost of any processing fees. No refunds will be provided once the Event has begun.
Transfer: If you are unable to attend the Event, you may transfer your registration to the next available booking of the course through your participant portal. Transfers must be completed before the training starts and are subject to availability.
5.0 Attendance Policy for Continuing Education Program and ITC Certification Program
The purpose of this attendance policy is to outline the expectations and requirements for attendance in the Continuing Education (CE) program and the ITC Certification Program. Consistent attendance is essential for participants to gain the full benefits of the program and to ensure they meet the requirements for certification or completion.
Attendance Requirements
Minimum Attendance for CE: Participants are required to attend at least 90% of the scheduled sessions LIVE to be eligible for Continuing Education credits.
Minimum Attendance for ITC Certification: Participants are expected to make their best efforts to attend the majority of the training sessions live.
Attendance Tracking:
In-Person Sessions:
Sign-In/Sign-Out: Participants must sign in at the beginning and sign out at the end of each session to record their attendance accurately.
Virtual Sessions:
For Zoom trainings, attendance is tracked by downloading the Zoom reports. Participants must ensure that their display name is their full name, so their attendance is properly recorded. Participants may switch devices during the training as needed, so long as their display name on each device is appropriately changed. Participants are permitted to join the training session in a group. In order for group attendance to be taken, group names and the full names of all group members must be communicated to CMC:FFC staff prior to the start of the training. Attendance will not be awarded to any participant in a group whose full name was not provided to CMC:FFC staff prior to the start of training.
Excused Absences
Acceptable Reasons: Excused absences may include illness, family emergencies, or other significant reasons. Documentation may be required and will be reviewed on a case by case basis.
Notification: Participants must notify the CMC:FFC as soon as possible, preferably before the session, if they will be absent. This can be done by emailing us at info@cmcffc.org or by calling and leaving a message at (212) 683-3684 general mailbox.
Make-Up Sessions for Continuing Education:
Availability: Make-up sessions may be available for excused absences. Participants should contact CMC:FFC prior to excused absences to arrange make-up work or sessions.
Completion Deadline: All make-up work or sessions must be completed within two weeks of the missed session.
Make-Up Sessions For ITC Certification:
Availability: Participants will be notified of missed sessions and permitted to make-up sessions by watching recordings of the training. Participants should make their best effort to contact CMC:FFC prior to excused absences to arrange make-up work or sessions. CMC:FFC staff will track participants' completion of make up sessions using distance learning software. Please note that the distance learning software used by CMC:FFC shows the duration of time a participant has spent engaged with session recordings. Participants will not receive credit if they have not completed watching the portion of the training that they missed in full. Participants must enter their first name, last name, and email address in order to access the distance learning materials and have their make-up session attendance properly recorded.
Completion Deadline: All make-up work or sessions must be completed within two weeks of the missed session.
Consequences of Non-Compliance
For Continuing Education: Participants who do not meet the LIVE attendance requirements will not receive certification or completion credit unless they have made arrangements with CMC:FFC staff to excuse their absences and make up sessions.
For ITC Certification: CMC:FFC is committed to helping participants obtain ITC Certification and will make their best effort to assist participants in successfully completing the requirements. CMC:FFC may grant extensions in the event that the participant has been showing a good faith effort to complete the required training videos.
Appeals
Process: Participants who believe they have been unfairly penalized for attendance issues may appeal in writing to the Executive Director within 10 days of the notification of the penalty. Meg Murray, Executive Director, mmurray@cmcffc.org, 212-683-3684 ext 180
Review: The program director will review the appeal and make a final decision within 10 days of receiving the appeal.
Program Complaints Process: If a participant or potential participant would like to express a concern about CMC:FFC’s CE Program or a continuing education program provided by CMC:FFC, the individual may contact Meg Murray, Executive Director, mmurray@cmcffc.org, 212-683-3684 ext 180. Although we do not guarantee a particular outcome, CMC:FFC will consider the complaint, make any necessary decisions, and respond within 30 days.
6.0 ADA Accommodations Policy for Continuing Education Policy
The purpose of this policy is to ensure that all participants in CMC:FFC’s training program have equal access to educational opportunities and resources, in compliance with the Americans with Disabilities Act (ADA).
Notification: Participants requiring accommodations should notify CMC:FFC as early as possible, preferably before the start of the program, to ensure timely arrangements.
Accommodations: CMC:FFC will make their best efforts to accommodate the needs of the training participants. This may include: Academic Adjustments, Auxiliary Aids and Services, or Physical Accessibility.
Confidentiality: All information regarding a participant’s disability and accommodation requests will be kept confidential and shared only with those who need to know in order to provide the accommodations.
Grievance Procedure
Filing a Complaint: Participants who believe they have been denied reasonable accommodations or have experienced discrimination based on their disability may file a complaint with Meg Murray, Executive Director, mmurray@cmcffc.org, 212-683-3684 ext 180
Review: The program director will review the complaint and make a decision within 10 business days.
7.0 Privacy and Data Protection
Personal Information: By registering for the Event, you consent to the collection, use, and storage of your personal information in accordance with our Privacy Policy. https://cmcffc.org/privacy-policy
Recording: The Event may be recorded for promotional and educational purposes. By participating, you consent to be recorded and grant us the right to use such recordings.
8.0 Intellectual Property
Content: All content provided during the Event, including presentations, materials, and recordings, is the intellectual property of CMC:Foundation for Change or its licensors. You may not reproduce, distribute, or create derivative works from the content without our express written permission.
9.0 Limitation of Liability
We are not liable for any direct, indirect, incidental, or consequential damages arising from your participation in the Event.
10. Governing Law
This Agreement is governed by and construed in accordance with the laws of the State of New York, without reference to any principles of conflicts of laws, which might cause the application of the laws of another state. Any action instituted by either Party arising out of this Agreement or the Services will only be brought, tried and resolved in the applicable federal or state courts having jurisdiction in the State of New York, the Parties consent to venue in such courts and shall not object thereto.
11.0 Changes to Terms
We reserve the right to modify these terms and conditions at any time. Changes will be communicated to registered Participants and will take effect immediately.
